PTO Accrual Explained With Examples
Last updated September 2026 · Workly USA editorial team
Paid time off can be granted all at once or earned gradually. The policy in your handbook controls how hours accumulate, but state law may affect payout and forfeiture.
Accrual math
If a full-time employee earns 120 hours over 26 biweekly pay periods, the simple accrual is about 4.62 hours per check. Employers may instead accrue by hours worked or use a monthly schedule.
Read the policy details
Look for eligibility dates, waiting periods, part-time rules, maximum balances, blackout dates, carryover, and what happens when employment ends. A cap can pause future accrual while your balance is full.
Track your balance
Keep the pay-stub balance and your own request history. If the numbers differ, ask HR for the policy version and an explanation of the calculation.
